Configure OnePlan Reporting Dashboards

This article explains how to configure the OnePlan reporting dashboard in for plans in your OnePlan environment, including how to create a new Dashboard tab, add Widgets to that Dashboard, and how to customize the Widgets in the Dashboard.

OnePlan allows you to create your own configurable dashboards—bringing real-time reporting directly into OnePlan without the need for a third-party reporting tool.

Note

This feature is currently in Beta. We're committed to enhancing this feature—future updates will introduce even more chart widgets and expanded data sources to give you greater flexibility and insight.

What are OnePlan Reporting Dashboards?

OnePlan empowers users to create custom Dashboards tailored to their specific needs, enabling seamless, real-time reporting directly within the platform. These native Dashboards eliminate the need for external reporting tools, streamlining the process and ensuring data remains centralized and easily accessible. With configurable options, OnePlan's Dashboards provide a flexible and intuitive way to visualize and analyze critical information, making decision-making more efficient and informed.

Where Can I Create Reporting Dashboards?

OnePlan reporting dashboards can be configured for any Plan Type or Area that has the Dashboards control activated (see Create and Manage Areas and Set up plan detail form layouts for more information). The native OnePlan Reporting Dashboards and Widgets are able to pull data from a summary plan-level, as well as from a work-level, giving you insights into the state of work happening across the organization.

This is an example of a Dashboard at the Portfolio-level. This Dashboard is full of summary data to give users a top-down view of the state of their portfolio and the projects within.

This is an example of a Dashboard at the Project-Level. This Dashboard is full of work-level data to give users an close-up view of the state of the work items and resources withing their projects.


Create a Reporting Dashboard Tab

Dashboards in OnePlan are pages that contain several visual Widgets. See OnePlan Reporting Widgets for more information on all of the Widgets available. You can configure multiple Dashboards per Plan. Each Dashboard gets a tab. There is no limit to the number of Dashboard tabs you can create.

For this article, we will walk through an example of configuring a Portfolio-level Dashboard together. To configure this Dashboard:

  1. Navigate to the Plan or Area where you want to configure the Dashboard. For this example, I want to configure the Dashboard for the My Portfolio Area.

  2. Go to the Dashboard tab of the Area.

  3. Select New > Dashboard. The Add Tab form will open.

  4. Complete the Add Tab form.

    • Name: Enter a name for your Dashboard tab. For this example, I will call this tab "Portfolio Summary".

    • Tab Type: Select the type of dashboard you want to create. Options include Dashboard (native OnePlan reports), and Power BI (where you can embed Power BI reports). For this example, I will select Dashboard.

      Note

      See Set Up Power BI Reporting Dashboards in OnePlan for instructions on how to setup an embedded Power BI reporting dashboard in OnePlan.

    • Personal: Check the Personal check box to make the Dashboard only available to yourself. If left unchecked, the Dashboard will be global and available for all users who can access the Plan. For this example, I will leave the check box unchecked.

      Note

      This option is only available to users with Owner permissions. Users with lesser permissions can only create personal Dashboards.

    • Slicers: Select fields to use as slicers for the Dashboard. Slicers are tools used to filter data in a report. They appear directly on the report page and help focus on specific information, updating the other visuals in the report to match the selected data. In this example, I will select the Goals, Business Unit, Category, and State fields to use as slicers.

  5. Click Next.

  6. Add filters to define the data that will be included in the Dashboard's reports. You can create filters based on any Plan-level field to define which plan data will be included in the Dashboard to create visualizations. For this example, I will create a filter that will bring in Plans where the Plan Type equals Project, Epic, or Engagement.

  7. Click Save. Your new Dashboard tab is complete and ready to be populated with report Widgets.

Add Widgets to the Reporting Dashboard

Once the Reporting Dashboard is configured, it is time to populate the Dashboard with visual Widgets. We will continue with our configuration example from ???.

Note

I will walk through the process of adding each category of Widget - Card, Chart, and Table. However, I will not walk though configuring each individual Widget style in this example, as configuration for the various Widget styles is very similar. See OnePlan Reporting Widgets for more information on all of the Widgets available.

Add Card Widgets to the Dashboard

A Card Widget is a visual element used to display a single value, like a KPI (Key Performance Indicator) or a summary metric. It’s perfect for showcasing specific data points such as sales totals, profit margins, or customer counts in a clear and concise manner, helping users focus on the most critical information at a glance.

For this example, I will create a Card Widget that displays the total Budget for all of the Plans with data available in this Dashboard. Recall, we added a filter to the Dashboard to pull in data from Projects, Epics, and Engagements.

  1. In the desired Dashboard tab, click New > Widget. This will open the Add Widget form.

  2. Click Card. This will open the Add Card Widget form.

  3. Complete the Add Card Widget form.

    • Title Check Box: Check the check box to display the Widget title in the Dashboard. For this example I will check the check box.

    • Title: Enter a title for the Widget. For this example I will enter "Total Budget".

    • Value: Choose a field you'd like to see summarized in the Widget. For example, I'll select Budget. This means the Card will show the total Budget for all Projects, Epics, and Engagements in OnePlan.

    • Aggregate: Select how you want OnePlan to aggregate the data for the Card. Options include: Sum, Average, Minimum, Maximum. For this example, I will select Sum, meaning I want the Card to display the sum of the Budgets of all Projects, Epics, and Engagements.

    • Display Unit: Choose the numerical format you want the Widget to use for presenting data Options inlcude None, Thousands, Millions, and Billions. For this example I will select Millions.

    • Add a Plan Filter: You can further refine the data displayed in the Widget by creating another filter. For example, you may wish to create a Widget that focuses only on Project data, and excludes Epics and Engagements. For this example, I will not create a filter for this Widget.

      Warning

      Filters layer on top of each other. There are filters that apply to the entire Dashboard, and you can set filters for individual Widgets. Be careful when adding Widget-specific filters because they might conflict with the Dashboard filter. If that happens, the Widget might not show any data.

  4. Click Add. The new Card Widget will be added to the Dashboard.

  5. Click Save to save the changes to your Dashboard.

Add Chart Widgets to the Dashboard

A Chart Widget is a visual component that displays data graphically to help users analyze and interpret insights effectively. These Widgets can represent data in various formats, such as bar charts, line graphs, pie charts, and more, providing an interactive and customizable way to explore data trends and relationships.

For this example, I will add a Pie Chart Widget showing Budget by Business Unit for the Plans in the My Portfolio Area.

  1. In the desired Dashboard tab, click New > Widget. This will open the Add Widget form.

  2. Select Chart.

  3. Select the type of chart you would like to create. In this example, I will select Pie. The Add Pie Widget form will open.

  4. Complete the Add Pie Widget form.

    Note

    When setting up your chart, you will see a live preview that updates as you make your choices. This helps you confirm that your chart looks and displays the data exactly as you want.

    • Title Check Box: Check the check box to display the Widget title in the Dashboard. For this example I will check the check box.

    • Legend Check Box: Check the check box to display the Widget legend in the Dashboard. For this example I will check the check box.

    • Title: Enter a title for the Widget. For this example I will enter "Budget by Business Unit".

    • Value: Choose a field you'd like to see summarized in the Widget. For example, I'll select Budget, as I want to look at the total Budget broken down by Business Unit.

    • Aggregate: Select how you want OnePlan to aggregate the data for the Card. Options include: Sum, Average, Minimum, Maximum. For this example, I will select Sum because I want to look at the total Budget broken down by Business Unit.

    • Group By: Select how you would like the data in the Widget to be organized. For this example, In this example, I will choose Business Unit to see the total Budget divided by each Business Unit.

    • Lables: Select how you want the different components of your chart labled. Options include: No Value (no lable), Show Values (showing the raw values), and Show Percent of Values (showing the values as a percent out of 100). For this example, I will select Show Percent of Values.

    • Display Unit: Choose the numerical format you want the Widget to use for presenting data Options inlcude None, Thousands, Millions, and Billions. For this example I will select None, since I choose to display the lables as percents.

    • Add a Plan Filter: You can further refine the data displayed in the Widget by creating another filter. For example, you may wish to create a Widget that focuses only on Project data, and excludes Epics and Engagements. For this example, I will not create a filter for this Widget.

      Filters layer on top of each other. There are filters that apply to the entire Dashboard, and you can set filters for individual Widgets. Be careful when adding Widget-specific filters because they might conflict with the Dashboard filter. If that happens, the Widget might not show any data.

  5. Click Add. The new Pie Chart Widget will be added to the Dashboard.

  6. Click Save to save the changes to your Dashboard.

Add Table Widgets to the Dashboard

A Table Widget is a visual element used to present data in a tabular format, similar to a spreadsheet. It organizes data into rows and columns, making it easy to display detailed information, compare values, and perform data analysis at a granular level. Users can customize and interact with tables to gain deeper insights.

For this example, I will create a Table Widget that displays a summary of Projects, Epics, and Engagements.

  1. In the desired Dashboard tab, click New > Widget. This will open the Add Widget form.

  2. Select Table. The Add Table Widget form will open.

  3. Complete the Add Table Widget form.

    • Title Check Box: Check the check box to display the Widget title in the Dashboard. For this example I will check the check box

    • Display Totals: Checik the check box to display the table totals in the Dashboard. For this example I will check the check box.

    • Title: Enter a title for the Widget. For this example I will enter "Portfolio Summary".

    • Columns: Select the plan fields you would like to display as columns in the table. For this example, I will select Plan Type, Name, Estimated Start, Estimated End, Business Unit, Category, State, Status, Budget, Benefits, ROI, Associated Key Results, and Prioritization Score.

    • Group By: Select how you would like the data in the Widget to be grouped. For this example, I will leave this blank.

    • Sort By: Select how you would like the data in the Widget to be sorted. For this example, I will select Estimated Start.

    • Sort Direction: Select the direction you would like the sort to go. Options include Ascending or Decending. For this example, I will select Ascending.

    • Add a Plan Filter: You can further refine the data displayed in the Widget by creating another filter. For example, you may wish to create a Widget that focuses only on Project data, and excludes Epics and Engagements. For this example, I will not create a filter for this Widget.

  4. Click Add. The new Table Widget will be added to the Dashboard.

  5. Click Save to save the changes to your Dashboard.

Resize and Rearrange Reporting Widgets in the Dashboard

The Dashboard is fully configurable. Moving Widgets around and changing their sizes is simple.

To resize a Widget, hover over the bottom right corner of the Widget. You should see your cursor change to the resize cursor. Click and drag the corner of the Widget until it is the size you want.

To rearrange a Widget, hover over the top of the Widget (by the title if that is displayed). You should see your cursor change to the move cursor. Click and drag the Widget until it is in the location you want.

Edit and Delete Reporting Widgets in the Dashboard

To edit or delete a Widget, click the three dot icon in the top right corner of the Widget. Select Edit to reopen the Widget configuration form. Select Delete to delete the Widget from the Dashboard.
