This article is intended for:

All OnePlan users – Anyone interested in using OnePlan’s AI assistant to streamline their work and decision-making.

It does not require any technical background; all OnePlan users can benefit from understanding Sofia GPT.

Conceptual Overview

Sofia GPT is OnePlan’s built-in AI virtual assistant. It leverages OpenAI’s cutting-edge GPT-5.2 language model (hosted on Microsoft Azure) to understand your natural language questions and provide helpful responses in real time. In simpler terms, Sofia is like a smart team member available 24/7 inside OnePlan, ready to help with planning, analysis, and guidance.

Key things to know about Sofia GPT:

  •

Integrated with OnePlan: Sofia lives within the OnePlan interface (look for the “Ask Sofia” chat icon at the bottom-right of your screen). It’s designed to work seamlessly with your project data and context.

  •

Powered by Advanced AI: Under the hood, Sofia uses GPT-5.2, a state-of-the-art AI model. GPT stands for Generative Pre-trained Transformer, which means Sofia has been trained on vast amounts of text and can generate human-like responses. Version 5.2 offers improved accuracy, better understanding of complex questions, and a larger capacity to handle context than earlier versions.

  •

Understands Natural Language: You don’t need special commands or jargon to use Sofia. Simply ask questions or describe what you need in plain English (or many other languages), and Sofia will interpret your intent and respond helpfully.

  •

Context-Aware Assistance: Sofia GPT can actually use context from your OnePlan environment when providing answers. For example, if you’re viewing a project portfolio and using Sofia, it can analyze the data on that page (if you choose) to give you a summary or insights. This is a unique capability – unlike generic AI chatbots, Sofia can draw on your actual OnePlan data (with appropriate permissions) for tailored answers.

Key Capabilities

Sofia GPT’s capabilities span a wide range of helpful functions:

  •

Questions & Answers: Answering “how do I…?” questions about OnePlan features or project management concepts. (Example: “What does the Roadmap view do?” or “How do I add a new project in OnePlan?”)

  •

Data Insights: Analyzing and summarizing data from your OnePlan views. Sofia can look at the data you have open (like a portfolio or resource plan) and give you a natural language summary or highlight risks and trends. (Example: “Summarize the current status of my portfolio” – Sofia will identify which projects are on track or at risk and why.)

  •

Content Generation: Drafting or suggesting content for project artifacts. Sofia can help write project descriptions, status report highlights, risk definitions, or other text based on best practices. (Example: “Help me draft a project status update for this week.”)

  •

Guidance & Best Practices: Providing advice or best practices related to project and portfolio management. (Example: “What’s a good way to prioritize projects?” – Sofia might explain a technique or how OnePlan’s features can help.)

  •

Multi-language Support: Sofia GPT is proficient in multiple languages. You can ask questions in your preferred language, and it will respond accordingly, making the assistant accessible to users in different regions.

  •

Continuous Learning: Sofia’s AI model learns and improves over time. As OnePlan upgrades the AI (like moving to GPT 5.2) and as it interacts with more queries, its understanding and responses become more refined. That means you can expect better answers over time as the system evolves.

How It Fits Into OnePlan

Sofia GPT is integrated throughout the OnePlan experience as your intelligent helper:

  • You’ll find the Sofia GPT chat icon in the OnePlan interface (usually in the bottom-right corner on every page). Clicking it opens the chat panel where you can start interacting.
  • Sofia is aware of where you are in the platform. For example, if you’re in a project’s Work Plan, Sofia knows that context and can answer accordingly or even analyze that project’s data if asked.
  • It serves as an in-app coach and analyst. Rather than searching the support site or digging through reports, you can ask Sofia for the information or analysis you need, without leaving OnePlan.

Think of Sofia GPT as an AI layer on top of OnePlan’s data and functionality:
Whenever you have a question about using OnePlan, need an analysis of your project data, or even want help brainstorming a project plan, Sofia is there to assist instantly, within the same interface where you do your work.

Common Scenarios and Use Cases

Here are some common scenarios where Sofia GPT can help you in OnePlan:

  •

Learning OnePlan: New to OnePlan? Ask Sofia “How do I create a new portfolio?” or “What is a Program versus a Project in OnePlan?” and get quick, guided answers without hunting through manuals.

  •

On-the-fly Analysis: Need a quick status summary? Open Sofia while viewing your Portfolio and ask “What’s the overall status of my portfolio right now?”. Sofia will analyze the data and might respond with something like “2 projects are on track, 1 is at risk due to budget overrun."

  •

Project Planning: Stuck writing a project charter or risk description? Ask Sofia for a draft or suggestions. For example, “Sofia, give me a draft project objective for a website redesign project.” You’ll receive a starting point that you can refine.

  •

Troubleshooting & Support: If something isn’t clear or an error pops up, you can ask, “I got a permission error when editing a resource – what does that mean?” Sofia can explain possible reasons and how to resolve or where to check settings.

  •

Best Practice Advice: Unsure how to prioritize work? Ask “What’s a good way to prioritize projects in a portfolio?” Sofia can provide best-practice tips (like scoring models or MoSCoW technique) and even how
