Work Plan - Request Work Item Status Updates

This article explains how to request status updates from team members on work items in a Work Plan. Requesting updates helps you gather current progress information so you can keep stakeholders informed and make better decisions about your project.

By the end of this article, you will be able to request status updates using the updated Request Updates interface and understand how those requests are delivered to assigned team members.


Requirements

Before you begin, make sure you have:

  • A OnePlan account with permissions to manage the Work Plan
  • A Work Plan with work items assigned to team members

Background

Project managers often need to collect status updates from team members to track progress and identify risks. OnePlan’s Request Updates feature allows you to send a notification to assigned resources, prompting them to update the status of their work items.

Team members receive the request via email and system notification. They can respond directly using the Status Update form, which displays all relevant status fields together and provides context like assigned resources and dependencies — making it easier for them to submit clear and complete updates without digging through the entire plan. This improved clarity and context means the updates you receive are more thorough, which boosts stakeholder confidence in the reported progress.

Once team members submit their updates, you can review and approve them before the changes are reflected in your Work Plan.


Instructions

Request Updates from the Work Plan

  1. Open the plan containing the work items you want to get updates on.
  2. Navigate to the Work Plan tab.
  3. If you want to request updates for specific tasks:
    • Hold Control (Windows) or Command (Mac) on your keyboard and select the tasks you want to include in the request.
    • Then proceed to the next step.
  4. Click the ellipsis () in the Work Plan header.
  5. Select Request Updates from the menu. Click Request Updates.png
  6. In the Request Updates dialog, choose one of the following options in the Tasks field:
    • Selected Tasks – Sends update requests for the tasks you selected in the Work Plan to the resources assigned to those tasks.
    • Tasks Assigned to Me – Sends update requests for all tasks in the plan that are assigned to you (the person initiating the request).

  7. (Optional) Add a custom message to provide context or specific instructions for the updates (e.g., “Please update all tasks by Friday EOD”).
  8. Click Send Update Request.

What Happens Next

  • Assigned team members receive a notification via email and in-app message.
  • The notification includes a link to the Status Update form, where they can update all relevant status fields for their assigned work items.
  • The form also displays assigned resources and dependencies, helping team members understand ownership and blockers before submitting updates.
  • Once submitted, updates are held for your review and approval before being applied to the Work Plan.
