Use OnePlan Stage Gate Workflows for Process Steps

This article explains how to use native OnePlan Stage Gates for the Plan Details Process Steps.

OnePlan now supports the creation of plan-level stage gate workflows, allowing you to set up customized approval rules and control field visibility and editability based on the workflow step. Using these stage gate workfdlows allow you to make plan fields required, read-only, or hidden, and automatically updates to fields, workflow steps, or even trigger plan conversions as dictated by your workflow.

Your OnePlan Administrator needs to configure these stage gate workflows. See Create or Edit Stage Gate Workflows for instructions.

Use the Stage Gate Workflow as a Project Team Member

Once you are ready to move onto the next phase of the process flow, click Next, and select the process step you want to route your project to. The rules and approvals set up by your administrator will kick in at this phase to determine if and when the plan can enter the next phase.

If there are rules configured to determine whether a plan can proceed to the next phase, and your plan does not meet the requirements, failure text will appear and the plan will not be allowed to proceed to the next phase or sent off for approval.

If there is an approval process in place in order to move onto a step (i.e. need approval to move the plan from Initiation to Execution), the next process step will become yellow and in a pending state until approved.

If your project is rejected from moving onto the next phase by an approver, you (the plan owner) will receive an email notification regarding the rejection with comments from the approver. The rejection will stop the stage gate workflow and push your plan back to the previous step. You can then update the plan and resubmit for approval.

If there is an approval process in place, once your plan has been submitted for approval, you can keep track of those approvals using the Approval work type. Go to the Work Plan List, then select the Approval Work Type. This log will display all previous and active approval items for the plan.

Once the plan is approved to move forward, or your plan meets all the criteria to move forward to the next phase, the step chevron will turn green and move into an active state.

Use the Stage Gate Workflow as an Approver

As an approver, you will recieve email notifications when a new approval item has been sent to you. This notification will include some basic information on the plan. From the email, click View Task to be taken to your My Work area.

All approval items assigned to you will appear in your My Work area. From My Work, you can click on the item Name, which will open the approval interface. From here you can review the plan details, then enter an Approval/Rejection Comment , and click Approve or Reject. The item will then be removed from your My Work list.

Note

Comments are only required for Rejections.

Approval/Rejection Comments will be added to the approval item's comments.

If you prefer review and approve/reject the plan from the plan itself (and have the permissions to access the Work Plan List), navigate to that plan's Work Plan. Then select the Approval Work Type. This log will display all previous and active approval items for the plan. Open the approval item's Quick Edit form. Until approved or rejected, the Quick Edit form for the approval item will include the approval interface (like the one in My Work). From here you can review the plan details, then enter an Approval/Rejection Comment , and click Approve or Reject.
