Purpose
This article explains how to configure the Files app for your Plans in OnePlan
Requirements
- Global Permissions = Administrator
- Access to the OnePlan Backend Configuration
- Access to the Plan Type you want to configure
Background
The new Files App centralizes document access for each plan. Plan managers can add file links to documents stored anywhere, and when connected to Microsoft Teams can browse plan-specific Teams folders, add files and folders, and open items with a single click. Continuous Microsoft Teams membership sync ensures the right people have access.
- Streamlined Workflows: Reduce context switching and speed up file management.
- Add Plan Files Links: Track files stored in any repository.
- Manage Microsoft Teams content: Create folders or upload new files from the plan without leaving the app.
- One‑Click Open to SharePoint Launch documents and libraries instantly for fast access.
- Continuous Teams Sync: Keeps plan membership aligned with Teams for consistent access.
Instructions
Install the Files App
- Go to the backend configuration > Apps.
- Click Add Application (+) to open the Add App dialogue.
- Select Files.
- Click Install App in the App Information dialogue.
- Click Ok on the Are you sure you want to Install that App? dialogue. The app installation will run. You will be sent back to the General tab of the configuration once installation is complete.
You are now ready to configure Files for your plans.
Add the Files App to Your Plan(s)
- Go to the Details in a plan of the desired Plan Type (e.g. Project, Program).
Because available planning modules are tied to a Plan Type (e.g., Project, Program), you must open a plan of that type to access its configuration. - Click Configure to open the Form Editor.
- Click on a Process Step > kebab menu > Edit to open the Edit Step form.
Because plan tab availability is related to process steps, you must edit each process step to add planning tabs. - Click into the Available Tabs field and select Fields from the drop down to make the Files app available in the plan at the current process step.
- Click Save for the Edit Step form.
- Repeat steps 3 - 5 for each process step where you want the Files app to be available in the plan.
- Click Save for the whole Form Editor.
The Files tab will now be available to your end users in all plans of the same plan type at the configured process steps.
