Direct Answer: How to Create and Manage Timesheet Fields in OnePlan

To create a timesheet field in OnePlan, open the Timesheets setup screen, select the Timesheet Configuration tab, and add a field from the Fields section, choosing a field type and whether it appears at the Timesheet Row or Timesheet Entry level. Custom timesheet fields let users capture information — such as charge type — alongside their logged time.

What This Article Covers: Timesheet Fields

This article explains how administrators create custom timesheet-level fields, including the difference between row-level and entry-level fields, in OnePlan.

What you will accomplish
By the end of this article, you will be able to add a custom timesheet field, choose the right field type and location for it, and understand when to use Billable Grouping.

Before You Begin: Timesheet Fields

  • You must have Administrator permissions in OnePlan.
  • Decide whether you need only one timesheet class (recommended) — see How to Create and Manage Timesheet Classes in OnePlan — since Timesheet Fields are usually the better way to distinguish types of hours.

Why This Matters: Timesheet Fields

Context: Fields Capture Detail Without Adding Columns

Unlike timesheet classes, which add a column for every day, Timesheet Fields let users capture additional detail — like charge type or project code — without cluttering the timesheet grid.

Context: Row vs. Entry Location Changes How Detail Is Captured

Timesheet Row field is set once per row and applies to every day in that row, while a Timesheet Entry field can have a different value for each individual day. Choosing the right location matters for how granular your reporting needs to be.

Step-by-Step: Creating and Managing Timesheet Fields in OnePlan

Task: Open the Fields Section

  1. Expand the global navigation bar on the left side of OnePlan and select Setup.
  2. Select the Edit (pencil) icon next to Timesheets.
  3. Select the Timesheet Configuration tab, then locate the Fields section.

Task: Add a Timesheet Field

  1. In the Fields section, select the Add (+) icon to open the Add Field form.
  2. Complete the form:
    • Field Name — Enter the name of the new field.
    • Field Type — Select the field type: Text, Date, Number, Currency, YesNo, Choice, or User.
    • Location — Select Timesheet Row or Timesheet Entry. See the Timesheet Row and Timesheet Entry sections below for the difference.
    • Copy From — Optionally select a work-level field whose value should pre-fill the timesheet row. Users can still change the copied value.
    • Required — Check this box if users must enter a value for every timesheet entry.
    • Billable Grouping — Check this box if this field should drive the billable-hours breakdown shown at the top of the timesheet entry page and the utilization graph. See How to Configure Timesheet Billable Settings in OnePlan.
  3. Select Add to create the field.

Note: The Field Type and Location cannot be changed after a field is created. You can still edit the field's name and other settings later.

Task: Choose Timesheet Row vs. Timesheet Entry

  • Timesheet Row fields display as a column on the left side of the timesheet grid. The value is entered once per row and applies to the whole row. If needed, the same task can be added to the timesheet a second time as a separate row — for example, to split billable and non-billable hours on the same task. Timesheet Row Field.png
  • Timesheet Entry fields show a value for each individual entry, so the value can differ day to day within the same row. Timesheet Entry Field.png

Note: If you're using a field to track billable versus non-billable hours, choose either a Timesheet Row field or a Timesheet Entry field for that purpose — not both — to avoid confusing users or creating inconsistent data.
