This article provides an overview of the roles and permissions that govern who can do what within the OnePlan Timesheet experience. It explains each role, what capabilities it grants, and how roles interact within the timesheet workflow.

Conceptual Overview
The OnePlan Timesheet experience is governed by a set of roles that determine what actions a user can take. These roles control who can enter time, who can review and approve submissions, who can manage timesheets on behalf of others, and who has elevated administrative access.
Each role maps to a specific part of the timesheet workflow. Understanding which role applies to you helps explain what you see in the interface, what actions are available to you, and who to contact when something needs to change.
Key Components
Team Member
Team Members are the primary users of the timesheet. They track time on their assigned work items.
A Team Member can:
- Access the timesheet and enter time against assigned tasks and work items
- Add tasks and work items to the timesheet using the Add Item button or the Add Item bar
- Use the stopwatch to record time on a task
- Copy timesheet items between periods or import items from tasks or the Resource Plan
- Delete timesheet items that have not been submitted or approved
- Change timesheet periods to navigate between open periods
- Submit timesheet rows for review
- Recall submitted rows that have not yet been approved
- Make comments on tasks or projects from the timesheet
- Submit time off requests from the timesheet
- Update work item status while logging time
NOTE
If a Plan is open to the team or assigned to specific individuals, only team members or those assigned to the plan will have the ability to add time. This restricts access for Managers and Owners, ensuring that time entry is limited to those directly involved with the Plan.
NOTE
If you have auto submission and approval enabled in your Plan there is no need to submit or approve time for every period. All entered time will automatically be submitted and approved.
Timesheet Manager
Timesheet Managers are responsible for reviewing and acting on submitted timesheet rows. They serve as the approval authority for the team members they manage.
A Timesheet Manager can:
- Access the timesheet approval views
- Review submitted timesheet rows from the resources they manage
- Approve or reject timesheet submissions
- Include optional comments explaining an approval or rejection
- Assign approval delegates to act on their behalf
In the Approvals by Resource view, a Timesheet Manager sees time submitted by users for whom they are the designated manager. In the Approvals by Plan view, a Plan Owner sees time submitted against plans they own. Both views show only pending approvals.
NOTE
If you have auto submission and approval enabled in your Plan there is no need to submit or approve time for every period. All entered time will automatically be submitted and approved.
Plan Owner
Plan Owners have visibility into time submitted against the plans they own. In the Approvals by Plan view, a Plan Owner can review and act on timesheet submissions for their plans. The Approvals - Detail Grid view includes columns for both manager approval and planner approval, reflecting that both roles may be involved in the review process.
Timesheet Delegate
A Timesheet Delegate can view and edit another user's timesheet on their behalf. This is useful when a team member is unavailable and someone else needs to enter or manage time for them.
Approval Delegate
An Approval Delegate can review and approve or reject timesheet submissions on behalf of a Timesheet Manager. Anything for which the manager is the approver will be delegated to the approval delegate(s) they assign.
This role ensures the approval process can continue when a manager is unavailable.
Timesheet Administrator
Timesheet Administrators have the highest level of access within the timesheet experience. This role is required for actions that go beyond standard entry, submission, and approval.
A Timesheet Administrator can:
- Access another user's timesheet via the Administer Timesheets option
- Fully edit another user's timesheet as needed for accurate reporting
- Unlock locked timesheet rows so they become editable again
- Lock timesheet periods
NOTE
If you are set as a Timesheet Administrator in your OnePlan environment, you will have access to additional Administer Timesheet and Unlock options in your timesheet.
