This article explains how to review and approve status updates submitted by team members in OnePlan. By reviewing updates, you ensure that only verified information is applied to your Work Plan, keeping project data accurate and stakeholders informed.
What you will accomplish
By the end of this article, you will be able to review pending status updates from team members and approve or reject them as needed.
Requirements
Before you begin, make sure you have:
- A OnePlan account with permissions to manage the Work Plan
- Previously requested updates from team members (using Request Updates)
- Team members who have submitted their status updates (pending your review)
Background
After you request status updates, team members submit their progress using the Status Update form. These submissions do not immediately update the Work Plan. Instead, they are held for your review and approval.
This review step gives you control to verify accuracy, ask follow-up questions, or reject updates that are incomplete or unclear. Because team members enter all their status information in a single form—with context like assigned resources and dependencies—the updates you receive are often more complete and easier to evaluate.
Instructions
Open the Status Updates Panel
There are three ways to access the Status Updates panel when team members have submitted updates:
Option 1: Notification Dialog
- Open the plan where you requested updates and go to Work Plan > List.
- If updates have been submitted, a notification dialog will appear.
- Click Yes to open the Status Updates panel.
Option 2: Status Updates Icon in the Toolbar
- In the Work Plan toolbar, click the Status Updates icon (clipboard with checkmark).
- The icon will appear blue when there are pending updates.
Option 3: Update Status Icon on Individual Tasks
- Expand the Work Plan list to view individual tasks.
- Tasks with pending updates will display a checkmark icon next to the task name.
- Click the checkmark icon to open the Update Status form for that specific task.
Review Each Update
The Status Updates panel lists all work items with submitted updates. You can review and take action on each update. Updated values are highlighted in blue.
Approve or Reject Updates
You can approve or reject updates individually or in bulk.
To approve updates:
- Select the checkbox next to one or more work items in the Status Updates panel.
- Click Accept to approve the selected updates.
- The approved updates will be applied to the Work Plan immediately.
To reject an update:
- Select the checkbox next to the work item(s) you want to reject.
- Click Reject.
- A comment field will appear. Enter a reason for the rejection (this is required).
- Click Reject again to confirm.
Team members will be notified when their update is rejected and can revise and resubmit their status.
Use clear, constructive comments when rejecting updates to help team members understand what needs to be corrected.
Finalize and confirm
- As soon as you approve or reject a work item, the Status Updates panel will close automatically.
- Approved updates are immediately applied to the Work Plan.
- Rejected updates are returned to the assigned team member, who will be notified and can revise and resubmit.
- After reviewing updates, be sure to manually save the Work Plan to retain all approved changes.
- Consider following up directly with team members if any updates were rejected or need clarification—while OnePlan sends a notification, a personal message can help ensure alignment.
Once updates are approved and saved, your Work Plan reflects the most current and verified information.
