Plan Details - Configure the Plan Process Steps

This article explains how to manage the Process Steps on the Plan Details page in OnePlan. Process Steps are structured, customizable sequences of steps that evolve based on project progress; as each step advances, the Details form dynamically adjusts to meet the needs of the current stage.

Configuring process flow steps is one of four core components of the Plan Details form, alongside planning modules, form sections, and form fields. Getting these steps right ensures end users see only the relevant tabs, sections, and fields at each stage of the plan lifecycle, and that any governance or approval requirements are enforced before a plan can advance.

Requirements

Before you begin, make sure you have:

  • A OnePlan account with Administrator or Owner permissions
  • The Plan Details App installed in your OnePlan environment
  • At least one Plan Type created and assigned to an Area
  • (Optional) Familiarity with your organization's project lifecycle phases and governance requirements

Background

The Plan Details forms in OnePlan are where plan managers enter all metadata for a given plan. The metadata entered in the plan details directly impacts rollup values in the work plan and reports. Each Plan Type has its own form, and each form may differ depending on the kind of plan it represents.

Process flow steps are one of four components that make up a Plan Details form:

  • Planning Modules (Available Tabs): Each module offers different planning capabilities. You select which modules are available to users at each step of the process flow for a given Plan Type.
  • Process Flow Steps: These steps are configurable to mirror your organization's project lifecycle. As end users progress through each step, the Plan Details form changes to meet the needs of each stage. Steps can be manually progressed by the end user or automated.
  • Form Sections: These make up the main layout of the Plan Details form.
  • Form Fields: Within form sections, fields pull data from plan and summary fields across OnePlan.

From the end user's perspective, process steps appear as stage indicators at the top of the Plan Details form. The current step is highlighted green, previous steps are highlighted blue, and future steps are highlighted gray. Users can click on a step to see its status and select Next to move the plan forward in the process. Different sections of the Plan Details form may be shown or hidden based on the current step.

💡 Best practice
Align your process flow steps with meaningful phases or decision points in your project lifecycle (for example: InitiationPlanningExecutionMonitoringClosure). Keep the number of steps manageable—each step should represent a stage where data needs, form layout, or available planning modules genuinely change.


Instructions

Open the Plan Details Form Editor

To configure process flow steps, open the Plan Details Form Editor for the desired Plan Type. There are two ways to access this editor:

  • From Global Navigation (Setup Mode): Select Setup to enter Setup Mode. Click the Edit icon next to the Area where the desired Plan Type is located. This opens the Area Editor. Go to the Plan Types tab, then click the Form Editor icon next to the Plan Type you want to configure. Open Plan Details from Area.gif
  • From a plan's Details tab: Navigate to the Details tab of a plan that uses the desired Plan Type. Click the Configure icon in the top-right corner of the form to open the Form Editor. Open Plan Details from Details.png

Add a Process Flow Step

  1. In the Form Editor, click Add Step. A new step is added to the end of the process flow.
  2. Click the  (kebab) menu on a step and select Edit to open the Edit Step form. Open Process Step Config.gif
  3. Complete the General tab
    • Name: Enter a name for the new step. Use a short, descriptive label that clearly represents the stage (for example, DesignProcurementReview).
    • Available Tabs: Select which planning modules should be visible when the plan is in this step. You can enable none, one, or multiple tabs.
      • Example: Early steps may expose only DetailsFinancials, and Resource Plan, while later execution steps may also expose Work Plan and Dashboard tabs.

The Sections and Fields tab have been moved to the Business Rules settings. See Create Business Rules for Your Plan Details Forms for instructions.

  1. (Optional) Complete the Stages tab to add governance to a step.
    • No Stage Gate: No approval required.
    • Standard Stage Gate: Use OnePlan’s native approval workflow.
    • Power Automate Gate: Use an external Power Automate flow.

Note:
Stage gates allow you to define rules, approvals, and automatic field updates that must occur before a plan can advance. For detailed instructions, see Create or Edit Stage Gate Workflows.

  1. Click Save in the Edit Step form.
  2. Click Save in the Form Editor to preserve your changes. Save New Process Step.gif

Edit an existing process flow step

  1. Select Edit from the step’s kebab menu.
  2. Update the configuration as needed.
  3. Click Save on the step and again in the Form Editor. Edit Step.png

Rearrange process flow steps

  1. Drag and drop steps into the desired order. Rearrange Process Steps.png
  2. Click Save to apply the new sequence.

Delete a process flow step

  1. Click Delete from the step’s kebab menu.

  2. Click Save to finalize the change.

Note
Deleting a step removes all step-specific configuration for that stage.

Save Changes

Changes to the Details page are not automatically saved. Click the Save button to save changes.

Admin Best Practices

  • Design your process flow before configuring it.
  • Save frequently while editing.
  • Configure tabs, sections, and fields intentionally at each step.
  • Use progressive disclosure to reduce form clutter.
  • Apply stage gates where governance or approvals are required.
  • Test the end-user experience by stepping through the process flow on a sample plan.
