How to Set Up Split Fields for Plan Detail Forms in OnePlan

Direct Answer: How to Set Up Split Fields for Plan Detail Forms in OnePlan

To set up split fields in OnePlan, create a new Multi Lookup plan field or open an existing one in the Edit Plan Field form. On the General tab, select one or more number or currency fields in the Split Fields box, then select Save. Split fields are configured as part of the Multi Lookup field, so no separate setup is needed on the Plan Details form. Users can then divide values such as Budget across the associated plans by percentage, and view the split values in Plan Details forms and in the Portfolio List, Roadmap, and Board views. Using a Multi Lookup field with splits directly in the Plan Details form is the recommended way to divide values across related plans.

What This Article Covers: Split Fields

This article explains how to configure Split Fields within a Multi Lookup plan field, so a number or currency value can be divided by percentage across the plans selected in that field. For how users enter percentages and view split values, see How to View Split Data in OnePlan.

What you will accomplish By the end of this article, you will be able to configure a Multi Lookup field with split fields, and add or remove split fields on an existing Multi Lookup field.

Before You Begin: Setting Up Split Fields

Before you begin, make sure you have:

  • A OnePlan account with permission to create and edit plan fields
  • The number or currency plan fields you want to divide, such as Budget or Estimated Cost, already created — split fields can only be created from number or currency fields
  • The Plan Type you want users to select from in the Multi Lookup field. For example, to split a project’s budget across objectives, you need an Objective plan type.

Why This Matters: Split Fields in OnePlan

Split Fields let you divide a plan’s value, such as Budget, across the multiple plans it is associated with — for example, splitting a project’s budget between the programs, departments, or objectives it serves. This gives finance and portfolio teams an accurate view of how shared values are allocated, without requiring a separate plan for each allocation.

Context: Split Fields Are Part of the Multi Lookup Field

Split fields are configured in the Multi Lookup field itself. Any plan type that uses the Multi Lookup field can then show split percentages and split values, and the split values are available in Plan Details forms and in the Portfolio List, Roadmap, and Board views. Because the Multi Lookup field can display as a table with a Split % column in the Plan Details form, it is the recommended approach for dividing values across related plans, rather than adding a Child Plan Table to the form.

Step-by-Step: Setting Up Split Fields in OnePlan

Task: Create a Multi Lookup Field with Split Fields

Starting from the Plan Fields configuration in OnePlan:

  1. Create a new plan field, or open the Multi Lookup field you want to edit. For general steps, see Plan Fields - Create a New Plan Field.
  2. On the General tab, set Field Type to Multi Lookup.
  3. Enter a Field Name, such as Associated Account.
  4. Select the Lookup Plan Type — the plan type users will choose from when they associate plans.
  5. In the Split Fields box, select each number or currency field you want to divide across the associated plans, such as Estimated Profit, Estimated Cost, and Estimated Revenue. You can select more than one.
  6. Complete any other settings, such as Default Value, Required, Read Only, and Available Plan Types.
  7. Select Save.

Note: You can only select number or currency fields in the Split Fields box. Existing split field definitions from earlier configurations carry over automatically.

Note: Users can only enter and view splits when the Multi Lookup field displays as a table in the Plan Details form. Show as Table is selected by default when you add the field to the form. If you clear it, the field displays as a picker and the Split % column does not appear. When Show Totals is also selected in the field’s settings, the split columns, such as Budget (Split), display column totals. Totals are available for number and currency fields only. See How to Add and Configure Fields on a Plan Details Form in OnePlan.

Example A Multi Lookup field named Associated Account has Account as its Lookup Plan Type, with Estimated Profit, Estimated Cost, and Estimated Revenue selected as split fields. When a user associates two accounts with a plan and sets a 25%/75% split, the first account is allotted 25% of each value and the second account is allotted 75%.

Task: Add or Remove Split Fields on an Existing Multi Lookup Field

  1. Open the Multi Lookup field in the Edit Plan Field form. You can also open it from the Plan Details Form Editor: select the pencil icon next to the field to open Field Settings, then select Edit Field.
  2. In the Split Fields box, select an additional field to add it, or select the x next to a field to remove it.
  3. Select Save.

Splits that users have already entered are not changed. After you add a split field, users can enter and view splits for the new field on the plans that use the Multi Lookup field.

Frequently Asked Questions: Split Fields

Q: What kind of field can I split in OnePlan? A: In OnePlan, you can split number and currency fields. Select them in the Split Fields box when you configure a Multi Lookup field.

Q: Where do I configure split fields in OnePlan? A: In OnePlan, split fields are configured in the Multi Lookup field’s Edit Plan Field form, on the General tab, in the Split Fields box. They are no longer configured separately on the Plan Details form.

Q: What happens to my existing split fields? A: In OnePlan, existing split field definitions carry over automatically to the Multi Lookup field configuration.

Q: What happens if I add or remove a split field after users have entered splits? A: In OnePlan, splits that users have already entered are left as they are. After you add a split field, users can begin splitting the new field’s value across the associated plans.

Q: How does OnePlan calculate the split percentage? A: In OnePlan, users set the split percentage manually for each associated plan. For example, a 25% and 75% split across two plans allocates a quarter of the value to one and three-quarters to the other. If the percentages do not add up to 100%, the split values still calculate from the percentages entered, and the Sum in the split table displays in red as a warning.

Q: Why don’t users see the Split % column on the Plan Details form in OnePlan? A: In OnePlan, the Split % column only appears when the Multi Lookup field displays as a table. If Show as Table is cleared in the field’s settings in the Plan Details Form Editor, the field displays as a picker and splits are not available. Select Show as Table and save the form.

Q: Where can users see split values? A: In OnePlan, split values display in Plan Details forms, the Portfolio List, the Roadmap, and the Board. See How to View Split Data in OnePlan.

Q: Should I use a Child Plan Table or a Multi Lookup field with splits in OnePlan? A: In OnePlan, use a Multi Lookup field with splits for dividing values across related plans. It can display as a table with a Split % column directly in the Plan Details form. Child Plan Tables remain available as form elements, and existing Child Plan Tables that use a Multi Lookup field with splits display the original field as a column such as Budget (Split).
