Direct Answer: How to Assign Resources to Work Items in OnePlan
To assign a resource to a work item in OnePlan, click the Assigned Resources field for the desired work item to open the resource assignment picker, choose the Work, Material, or Cost tab, then select the resource, Team, or generic resource and set its Units, Quantity, or Cost. You can also drag and drop resources or teams from the Resources panel.
What This Article Covers: Resource Assignment
This article explains the two ways to assign resources to Work Items in the Work Plan List: the Resources panel (drag and drop) and the Assigned Resources field's tabbed picker. It covers assigning individual resources, Teams, Material resources, and Cost resources.
Before You Begin: Resource Assignment
- Confirm you have edit permission on the Work Plan.
- Understand how resources are categorized as Work, Material, or Cost — see How to Add and Categorize Generic Resources in OnePlan.
- Named resources and Teams are always Work type resources. See How to Add Named Resources in OnePlan.
Why This Matters: Resource Assignment
One picker, every resource type
The Assigned Resources field's Work, Material, and Cost tabs give you a single, consistent place to assign labor, teams, materials, and flat costs to a work item — instead of hunting for the right field for each resource type.
Team assignments use team-level cost and rate
When a Team is assigned to a work item, OnePlan uses the cost and rate configured on the Team in the Resource Center — not the individual costs or rates of the Team's members, and not plan-level rate tables. Understanding this helps you interpret cost and revenue calculations correctly when Teams are involved.
Assigning shares the plan
Assigning an individual resource or a Team to a work item shares the plan with them (and, for Teams, with all of its members). Review permissions after adding a new resource or Team to make sure access is set correctly.
Step-by-Step: Assigning Resources to Work Items in OnePlan
Task: Assign a Resource or Team from the Resources Panel
- Click the ellipsis in the Work Plan toolbar, then select Resources > Assign Resources. The Resources panel will open on the right side of the screen.
- To assign an individual resource, select it from the list, then drag and drop it onto the desired Work Item.
- To assign a Team, click the Teams tab in the panel, select the desired Team, then drag and drop it onto the desired Work Item.
Note: It is helpful to have the Assigned Resources column added to your Work Planner view so you can easily see which resources are assigned to which tasks.
Task: Assign a Resource, Team, Material, or Cost Resource from the Assigned Resources Field
- Click in the Assigned Resources field for the desired Work Item. The Resource selection menu will open with three tabs: Work, Material, and Cost.
-
To add a labor resource or a Team, go to the Work tab. Use the Find Resources or Teams search box to find the desired resource or Team, then select the check box next to it. You may also type in a new name of a resource. After you do so, the project plan will be shared with them. Set the resource's Units (percent allocation) in the column next to their name.
Note: Teams are treated as Work type resources. When you search in the Work tab, both individual resources and Teams appear together in the results. Cost and rate for a Team assignment come from the Team's own cost and rate settings in the Resource Center, not from its individual members.
-
To add a material resource (equipment, supplies, or other physical goods), go to the Material tab. Use the Find Material Resources search box to find the desired resource, then select the check box next to it. Enter the Quantity needed; Total cost is calculated automatically from quantity and the resource's cost.
-
To add a cost resource (a flat, non-labor, non-material cost such as a contract or vendor fee), go to the Cost tab. Use the search box to find the desired resource, then select the check box next to it. Enter the Cost for the assignment.
Note: Plan managers can assign resources to work items up to 1000% in the Assigned Resources field, supporting flexible allocation scenarios.
Frequently Asked Questions: Resource Assignment
Q: Which tab do I use to assign a Team to a work item?
A: In OnePlan, use the Work tab in the Assigned Resources field's resource picker. Teams are treated as Work type resources and appear alongside individual resources in the same search results.
Q: If I assign a Team to a work item, whose cost and rate are used?
A: In OnePlan, the Team's own cost and rate — configured on the Team in the Resource Center — are used. Individual member costs and rates, and plan-level rate tables, are not used for Team assignments.
Q: Does assigning a Team share the plan with all of its members?
A: In OnePlan, yes. Assigning a work item to a Team adds every member of that Team to the plan's shared-with list.
Q: What's the difference between the Resources panel and the Assigned Resources field?
A: In OnePlan, the Resources panel lets you drag and drop resources or Teams onto Work Items from a side panel, while the Assigned Resources field lets you assign directly within the grid using a tabbed picker (Work, Material, Cost). Both accomplish the same result — use whichever fits your workflow.
Q: Can I assign a resource to a work item at more than 100%?
A: In OnePlan, yes. Plan managers can assign resources up to 1000% in the Assigned Resources field to support flexible allocation scenarios.
