Plan Fields - Enable AI for Fields

This article explains how to enable AI features for Plan Fields in OnePlan, allowing users to leverage AI assistance for content generation and field population.

What you will accomplish
By the end of this article, you will be able to enable AI for appropriate Plan Fields, configure AI settings such as custom prompts and plan creation behavior, and understand performance considerations.


Requirements

Before you begin, make sure you have:

AI must be enabled at the system level before you can enable AI for individual fields.

Background

AI-enabled fields allow users to leverage OnePlan's AI assistant (Sofia) to automatically populate field content based on context and prompts.

When AI is enabled for a field:

  • Users see a Sofia icon next to the field on the Plan Details form
  • Clicking the icon triggers AI to generate or suggest content
  • AI uses plan context, historical data, and optional custom prompts to provide relevant suggestions
  • Users can accept, modify, or ignore AI-generated content

Which Field Types Support AI

AI features are available only for the following field types:

  • Text
  • Multi-Line Text
  • Choice
  • Date

Other field types do not support AI-enabled behaviors.

Instructions

Enable AI for a Plan Field

  1. Access the Plan Fields configuration interface.
    See Access the Plan Fields Configuration Interface for navigation instructions.
  2. Either:
  3. Click the AI tab in the Plan Field configuration form.
  4. Check the Enabled checkbox.

    Additional AI settings will appear once AI is enabled.

Configure AI Settings

After enabling AI, configure the following optional settings:

Use for Plan Creation

Check the Use for Plan Creation checkbox if you want AI to automatically populate this field when new plans are created.

When enabled:

  • AI generates content for this field during plan creation based on available context
  • Users can review and modify AI-generated content before saving the plan
  • Useful for fields like descriptions, objectives, or risk assessments that benefit from AI-generated starting points

When to use:

  • Fields where AI can provide helpful initial content based on plan type, name, or other attributes
  • Fields where users typically start with similar patterns or templates

Custom AI Prompt

Enter a custom prompt in the Custom AI Prompt field to provide AI with specific guidance on how to populate the field.

Purpose:

  • Gives AI additional context about what kind of content to generate
  • Helps ensure AI output aligns with organizational standards or expectations
  • Improves relevance and quality of AI suggestions

Examples of effective prompts:

  • For a Project Description field: Generate a concise project description that includes the project's purpose, key deliverables, and expected outcomes. Keep it under 200 words.
  • For a Risk Summary field: Identify potential risks based on the project budget, timeline, and complexity. Summarize the top 3 risks in bullet points.
  • For a Status Update field: Summarize progress since the last update, highlighting completed milestones and any blockers.

💡 Tip:
Be specific in your prompts. The more context you provide, the more relevant AI-generated content will be.


Save the Configuration

Click Save to enable AI for the field.


How AI-Enabled Fields Appear to Users

Once AI is enabled for a field, users will see a Sofia icon next to the field on the Plan Details form.

User experience:

  • Clicking the Sofia icon triggers AI to generate content
  • AI analyzes plan context (plan type, related fields, historical data) and any custom prompts
  • Generated content appears in the field
  • Users can accept the content as-is, edit it, or discard it and enter their own

Note:
AI suggestions are always optional. Users maintain full control and can choose whether or not to use AI-generated content.


Performance Considerations and Best Practices

As you enable AI for fields in your OnePlan environment, keep the following considerations in mind:

Processing Limits

OnePlan AI (like all AI systems) has processing limits. The amount of data AI needs to process varies by field type:

  • Multi-Line Text fields require significantly more processing than simpler field types
  • Text fields require moderate processing
  • Choice and Date fields require minimal processing

Selective Enablement

OnePlan recommends enabling AI only for fields where you expect the greatest benefit.

Good candidates for AI:

  • Fields where users commonly need content suggestions (descriptions, summaries, objectives)
  • Fields where AI can save significant time (risk assessments, status updates)
  • Fields where consistency is important and AI can help enforce standards

Poor candidates for AI:

  • Simple fields where manual entry is faster (short labels, IDs)
  • Fields with highly variable or unique content that AI can't reliably predict
  • Fields where processing overhead outweighs the benefit

Monitor Performance

As you and your team begin using AI-enabled fields:

  • Monitor processing times — note if AI responses are slow or delayed
  • Track usage patterns — identify which fields users find most valuable
  • Adjust as needed — disable AI for fields that cause performance issues or aren't being used

⚠️ Warning:
There are no strict limits on the number of fields where you can enable AI, but enabling AI for too many fields—especially Multi-Line Text fields—may impact performance. Start with a few high-value fields and expand based on usage and performance.


Edit or Disable AI for a Field

To modify AI settings:

  1. Access the Plan Fields configuration interface.
  2. Locate the field > click the kebab menu > click Edit.
  3. Navigate to the AI tab.
  4. Update the Enabled checkbox, Use for Plan Creation, or Custom AI Prompt as needed.
  5. Click Save.

To disable AI:

  1. Navigate to the AI tab.
  2. Uncheck the Enabled checkbox.
  3. Click Save.

Note:
Disabling AI removes the Sofia icon from the field but does not delete any data users have entered (whether from AI suggestions or manual entry).
