This article explains how to create new Plan Fields in OnePlan and configure their settings.
What you will accomplish
By the end of this article, you will be able to create Plan Fields, configure general and field‑specific settings, and understand which optional advanced features can be enabled.
Requirements
Before you begin, make sure you have:
- A OnePlan account with Administrator permissions
- Access to the Plan Fields configuration interface

Background
Plan Fields capture plan‑level metadata such as status, owner, budget, dates, and custom attributes. When creating a Plan Field, you'll configure:

General settings that apply to all field types
(name, description, required/read‑only, plan type availability) -
Field‑specific settings that vary by field type
(character limits, decimal places, choices, etc.) - Optional advanced features such as calculations, conditional formatting, and AI‑enabled behaviors

Instructions
Create a New Plan Field
- Access the Plan Fields configuration interface.
See Access the Plan Fields Configuration Interface for navigation instructions. - Click New Field.
The New Plan Field form opens. - Complete the General tab:

Field Name
Enter a descriptive name (e.g., Project Status, Budget Amount, Assigned Owner). -
Description
Enter guidance explaining the field’s purpose or how users should interact with it. This text appears as a tooltip. -
Internal Name
Auto‑populated after the field is saved. Displays the system (back‑end) field name. -
Field Type
Select the appropriate field type for the data you want to capture.- Configuration options update based on the selected field type.

Default Value (optional)
Set a value to automatically populate the field by default. -
Required
Forces users to enter a value before saving a plan. -
Read Only
Prevents manual editing. Commonly used for calculated or system‑controlled fields. -
Available Plan Types
Controls which plan types display this field.- If left blank, the field is available to all plan types.
- Use this to create specialized fields (e.g., Sprint Goal for Agile projects).

Field Name
‼️ Important:
Plan Type availability is only editable after the initial save. When a field is first created, it is available only to the plan type of the plan you used to create it. To make the field available to additional plan types, edit the field after saving. See Plan Fields - Edit or Delete Plan Fields.
Configure Field‑Specific Settings
After completing the general settings, configure options specific to the selected field type. The available settings change depending on the field type you choose.
Text Fields
- Character Limit: Set the maximum number of characters users can enter.
- Multi Line: Enable to allow users to enter multiple lines of text.
Number Fields:
- Decimals: Select the number of decimal places allowed (0–5).
- Field Aggregate: Define how numeric values are aggregated or summarized for the field.
- Available options include Sum, Average, Min, and Max.
- Show as Percent: Enable to display numeric values as percentages.
Currency Fields:
- Field Aggregate: Define how currency values are aggregated or summarized for the field using Sum, Average, Min, or Max.
- Currency configuration (including exchange rates) is managed globally.

Date Fields:
- Field Aggregate: Define how date values are summarized:
- Min (earliest date)
- Max (latest date)
Choice Fields:
- Choices: Define the available options using single‑line entry or bulk upload.
- Filter Choice Field: Restrict which choices are selectable based on defined criteria.
Multi Choice Fields:
- Choices: Define the available options using single‑line entry or bulk upload.
- Allows users to select multiple options.
- Configured similarly to Choice fields.
Lookup and Multi Lookup Fields: Used to create relationships between plans
- Used to create relationships between plans.
- Lookup Plan Type: Define which plan type the field will pull information from.

User Fields:
- Filter: Limit available users by applying a filter based on resource attributes.
Yes/No, Rich Text, Hyperlink, Image Fields
- No additional configuration is required beyond the general settings.

Optional Advanced Field Features
The following features are optional and can be enabled during creation or after a field exists.
Calculations
Automatically compute field values using formulas or child plan data
(e.g., totals, percentages, rollups).
Only supported for Number and Currency fields.

Conditional Formatting
Visually highlight values based on rules such as thresholds, statuses, or dates.
Formatting affects display only and does not change stored values or calculations.
AI Features
Enable AI‑assisted behaviors such as suggestions, summaries, or predictions.
AI is enabled by administrators and optional for users.
Availability depends on field type and subscription.
Save the Field
Click Save to create the Plan Field.
After a Plan Field is created:
- The field becomes available in Portfolio lists, where it can be:
- Added as a column in Portfolio views
- Used in filters, sorting, and groupings
- The field appears in the Plan Details configuration as an available Plan Field, where administrators can:
- Add it to the Plan Details form
- Control where and how it appears on the form
- Users can begin entering data in the field (unless it is read-only or calculated).
- If configured:
- Calculations and aggregates begin computing values
- Conditional formatting applies visual styling based on field values
- AI features become available to users for that field
Field settings can be updated at any time (except for the field type itself).
