This article explains how permissions synchronize between OnePlan plans and Microsoft Teams when the Teams integration is enabled.
When the Microsoft Teams app is enabled, OnePlan helps keep access aligned between your plans and Teams - so collaboration is easier and permissions don't have to be managed in two places.
However, not all OnePlan permission levels behave the same way. This article explains which OnePlan plan permissions sync to Microsoft Teams, and which do not.
How Permission Sync Works
When a OnePlan plan is connected to Microsoft Teams, OnePlan adds users to the connected Team based on the permissions defined in the plan's Shared With list.
This synchronization occurs:
When the plan is first connected to a Team
When the users are added or promoted in the plan's Shared With list
Important: Permission sync from OnePlan to Teams is additive only. OnePlan can add users or promote their role in Teams, but it will never remove or demote users from a team.
What Gets Synchronized (and what does not)
Only certain OnePlan permission levels trigger synchronization with Microsoft Teams. Others are intentionally excluded.
Permission Sync Behavior
OnePlan Plan Permission Level | Syncs to Microsoft Teams? | Teams Role Assigned |
No Access | No | - |
My Work Only | No | - |
Reader | Yes | Team Member |
Contributor | Yes | Team Member |
Owner | Yes | Team Owner |
Plan Vs. Channel Connections
If a plan is connected to a Team, permissions sync directly to that Team.
If a plan is connected to a Channel:
- The sync behavior still occurs in the same way
- Permissions are applied to the parent Team, not the individual channel
Channels in Teams don't have their own separate permissions.
(Important!) Additive-Only Behavior
To avoid unintentionally removing users or overriding Teams administrators:
OnePlan can add users to Teams
OnePlan can promote users
OnePlan will not remove or demote users in Teams
Team Owners remain fully in control and can:
Add or remove users directly in Teams
Change Team roles (without OnePlan overriding those changes)
Manage visibility beyond what OnePlan requires
Best Practices
- Use the OnePlan Shared With list to control essential access.
This ensures anyone who must collaborate is added to the Team automatically. - Assign Plan Owners sparingly.
Owners in OnePlan become Owners in Teams, which gives broad administrative permissions - Review permissions periodically.
Check both OnePlan and Teams to make sure your membership reflects current project needs. - Use Teams for broader visibility.
Since OnePlan doesn’t remove users from Teams, Teams is the right place to add additional stakeholders or viewers.
