Audience
This article is intended for:
- Plan Managers who manage plan‑level automation rules
- Portfolio Managers reviewing automation behavior across plans
- OnePlan administrators responsible for automation governance
This article is for interface orientation only and does not include step‑by‑step configuration instructions.
Where to Access Plan Automations
You can access the Plan Automations interface from two locations:
- From a Portfolio Area
Allows you to manage automations that apply to all plans of a selected plan type. - From within a Plan
Allows you to manage automations that apply only to that specific plan.
Where you access the interface determines the scope of the automation.
Interface Overview
The Plan Automations Editor interface is an extension of the existing Work Plan Automations experience, applied at the plan level.
The layout, controls, and interaction patterns are the same as the Work Automations interface, but:
- Automations apply to plans, not work items
- Triggers and actions operate at a higher level
- Rules affect plan‑level behavior across one or more plans
This consistent interface design allows users familiar with Work Automations to easily work with Plan Automations.
Key Interface Components
The Plan Automations interface includes the following main areas.
Automations List
The main list displays all plan‑level automations you have permission to view.
Each row represents a single automation and includes:
- Title – The name of the automation
- Scope – Whether the automation applies to all plans or a specific plan
- Plan Types – The plan categories the automation applies to
- Trigger – The plan‑level event that causes the automation to run
- Creator – The user who created the automation
- Active – Whether the automation is currently enabled
This list provides a high‑level view of all plan‑level automation rules and their status.
Automation Row Actions
Each automation row includes action icons that allow you to manage the rule:
- Edit – Opens the automation designer to modify the rule
- Delete – Permanently removes the automation
- More Options – Includes actions such as Deactivate, which turns off the automation without deleting it
These actions allow you to manage plan‑level automations directly from the list view.
Create Automation
A + (Add) button appears at the top of the Automations list.
Selecting this option opens the automation designer, where you define:
- A plan‑level trigger
- Optional conditions
- One or more actions applied to the plan
Important
Where you access the Plan Automations interface determines the scope of the automation:
- When accessed from a Portfolio Area, you can create automations that apply to all plans of a selected plan type.
- When accessed from within a plan, automations apply only to that specific plan.
Filters
The Filters menu allows you to narrow the list of automations using criteria such as:
- Name
- Active status
- Plan types
- Scope
- Trigger
Filters are especially helpful in environments with many plan‑level automations.
View Selector
The View selector controls which automations are shown in the list:
- All Automations – All plan automations you have permission to see
- My Automations – Only automations you created
This helps separate personal, plan‑specific, and environment‑wide rules.
Beta Indicator
A Beta badge appears in the interface to indicate that Plan Automations are part of a preview release and may change in future updates.
How It Fits Into OnePlan
The Plan Automations interface supports consistent plan management by providing:
- Centralized visibility into plan‑level automation rules
- A familiar interface aligned with Work Plan Automations
- Tools to manage automation behavior across plans and portfolios
Plan Automations are typically managed alongside Work Plan Automations to support automation at multiple levels.
