Direct Answer: Configure Field Calculations for a Plan Field in OnePlan

To configure a field calculation for a Plan Field in OnePlan, go to Plan > Details, select the Configure icon to open the Form Editor, open the Content panel’s Elements tab and choose Plan Fields, then select the Edit icon next to the field. In the Edit Field form, select the Calculation tab, choose Calculated, Rollup, or Trend as the Calculation Type, complete the corresponding Edit Calculation form, and select Save. You must create a separate calculation for each scenario or value the field can be set to.

What This Article Covers: Plan Field Calculations

This article explains how to access the Calculation tab for a Plan Field and configure each of the three calculation types available to Plan Fields — Calculated, Rollup, and Trend — including the forms, options, and rules involved in each.

What you will accomplish By the end of this article, you will be able to access the Calculation tab for a Plan Field, and add a Calculated, Rollup, or Trend field calculation to it in OnePlan.

Note: This article covers Plan Field calculations. For Work Field calculations, see Work Fields - Configure Field Calculations — Work Fields support only the Calculated calculation type.

Before You Begin: Plan Field Calculations

Before you begin, make sure you have:

  • A OnePlan account with Owner (administrator) permissions (Needs SME confirmation: exact required permission/role name)
  • Access to the Plan Details Form Editor — see Plan Fields - Access Plan Fields Configuration
  • A Plan Field created or in progress — see Plan Fields - Create a New Plan Field
  • (For Rollup calculations) The Field Type set to Number, Currency, or Date
  • (For Trend calculations) Status Reports enabled for the field you want to capture trends for

Why This Matters: Plan Field Calculations

Context: How Plan Field Calculations Work

Plan Field calculations automatically update a field’s value based on formulas, business rules, rollups from child plans, or trend tracking, instead of requiring users to update those values manually.

Context: Plan Field Calculations Are Configured from the Front End

Plan Field calculations are configured directly from the Plan Details Form Editor, rather than from a separate backend administration page. This keeps calculation configuration in the same place as the rest of the Plan Field and form-building experience. See Plan Fields - Access Plan Fields Configuration.

Context: Why Rollup Fields Matter

Plan Rollup Fields automatically aggregate information from related plans and work items — such as counts of active issues or sums of task effort — so portfolio-level data stays accurate without manual updates. Rollups now update more quickly when related plans change, which reduces the delay between updates in child plans and the rollup values shown at higher portfolio levels.

Context: Why You Cannot Calculate from Other Calculated Fields

You cannot build a calculation using another calculated field as an input. Because calculated fields depend on their own calculation logic to update, chaining calculations off of them will not update correctly and will produce incorrect information. Always use initial (non-calculated) field values when building a calculation.

Context: Only Plan Fields Support Rollup and Trend

Rollup and Trend are Plan Field-only calculation types. Work Fields support only the Calculated type, and Resource Fields don’t support calculations at all. See Work Fields - Configure Field Calculations.

Step-by-Step: Configuring Plan Field Calculations

Task: Access the Calculation Tab for a Plan Field

  1. Open any plan and go to Plan > Details.
  2. Select the Configure icon. The Form Editor opens.
  3. Select the Content button to open the Content panel, then go to the Elements tab and choose Plan Fields.
  4. Select the Edit icon next to the field you want to update, or select Create New to build a new field first. The Edit Field form opens.
  5. Select the Calculation tab in the Edit Field form.

Note: You don’t have to configure a calculation after the fact — you can also add one while creating the field for the first time. See Plan Fields - Create a New Plan Field.

See Plan Fields - Access Plan Fields Configuration for more detail on this interface.

Task: Add a Calculation

From the Calculation tab in the Edit Field form:

  1. Select Calculated in the Calculation Type dropdown.
  2. Select Add Calculation. The Edit Calculation form opens.
  3. Complete the Edit Calculation form:
    • Select Field To Add: Select the field you want to use in your calculation. Do not select a calculated field — the calculation will not update correctly. The selected field populates the Calculation field below.
    • Calculation: Build your calculation using selected fields or entered values. Available calculations include basic math (addition, subtraction, multiplication, division), DATEDIFF([field 1], [field 2]) (calculates the difference between two date fields), [AssignmentCost] (multiplies effort by cost using your organization’s rate tables), and [AssignmentRevenue] (multiplies effort by revenue using your organization’s rate tables).
    • Always Calculate: Select the check box if you want the calculation to run even when the conditional fields do not change.
    • Calculate When (And): Add one or more rules/logic for the calculation.
  4. Select Save.

Example: A Plan Health field could use three calculations to set its value based on a Risk Score field: Green when Risk Score is below 30, Yellow when Risk Score is between 30 and 70, and Red when Risk Score is above 70.

Task: Add a Rollup

Rollup calculations are only available for Number, Currency, and Date field types. From the Calculation tab in the Edit Field form:

  1. Confirm the Field Type is set to Number, Currency, or Date.
  2. Select Rollup in the Calculation Type dropdown.
  3. Complete the Edit Calculation form:
    • Work Type: Select the work type the rollup data comes from. Select Plan to create a rollup field for associated plans.
    • Lookup Field: Available when Work Type is set to Plan. Select the plan field to calculate the rollup from.
    • Aggregate: Select the aggregate calculation to perform on the rollup data.
    • Filter: Add one or more rules/logic for the rollup calculation.
  4. Select Save.

Rollups auto-calculate on a scheduled basis, and can also be recalculated on demand using the Calculate Rollups button on the Plan Details form. Status and % Done require a start and due date, or a duration, to roll up to the plan level: the % Done rollup is weighted by duration, and Status and % Done are connected (a status of In Progress corresponds to 50% done, and Completed corresponds to 100% done). Status itself does not directly roll up — % Done rolls up, and if % Done is greater than 0, Status updates to In Progress; if % Done equals 100, Status updates to Completed.

For a specialized financial version of this calculation type, see Plan Fields - Configure a Financial Rollup Field.

Task: Add a Trend

Status Reports must be enabled for the field you want to capture trends for. From the Calculation tab in the Edit Field form:

  1. Select Trend in the Calculation Type dropdown.
  2. Complete the Edit Calculation form:
    • Trend Field: Select the field to capture trend data over time.
  3. Select Save.

Trend calculation fields display a graphical representation of the underlying trend calculation, giving an overview of how a plan is changing over time.

Frequently Asked Questions: Plan Field Calculations

Q: Where do I configure calculations for a Plan Field in OnePlan? A: In OnePlan, Plan Field calculations are configured on the Calculation tab of the Edit Field form, accessed from the Plan Details Form Editor (Plan > Details > Configure).

Q: What calculation types are available for Plan Fields in OnePlan? A: In OnePlan, Plan Fields support three calculation types on the Calculation tab: Calculated (formula- or rule-based updates), Rollup (aggregates values from related plans), and Trend (tracks how a field’s value changes over time).

Q: Can I use these same calculation types on a Work Field? A: Only partially. In OnePlan, Work Fields support the Calculated type, but Rollup and Trend are Plan Field-only. See Work Fields - Configure Field Calculations.

Q: Why can’t I use a calculated field inside another calculation in OnePlan? A: OnePlan does not support building a calculation from another calculated field, because the source field depends on its own calculation to update. This produces incorrect results, so you must use initial (non-calculated) field values instead.

Q: What field types support Rollup calculations in OnePlan? A: Rollup calculations in OnePlan are only available for Plan Fields with a Field Type of Number, Currency, or Date.

Q: Do Rollup fields update automatically in OnePlan? A: Yes. Plan Rollup Fields in OnePlan auto-calculate on a scheduled basis and now update more quickly when related plans change. They can also be recalculated on demand using the Calculate Rollups button on the Plan Details form.

Q: What do I need enabled to add a Trend calculation in OnePlan? A: Status Reports must be enabled for the specific Plan Field before you can add a Trend calculation to it in OnePlan.
