What you will understand
After reading this article, you will understand the end-to-end lifecycle of a submitted timesheet row, including how it is reviewed, what outcomes are possible, and what actions you can take depending on the result.
Audience
This article is intended for:
- Team members who have submitted their timesheet and want to understand what happens next
- New OnePlan users learning the timesheet workflow for the first time
This article is not intended to replace step-by-step instructions for submitting, recalling, or approving timesheets.
Conceptual Overview
When you submit timesheet rows in OnePlan, those rows are sent to your timesheet manager for review and approval. Once submitted, the rows are no longer editable — they enter a review stage where your manager decides whether to approve or reject them.
The process is designed to ensure that time tracked against plans and tasks is accurate and verified before it is finalized for reporting. Understanding this process helps you know what to expect after you click Submit, and what to do if something needs to change.
NOTE
These concepts only apply if submissions are active. If you have auto submissions and approval enabled then all of these steps are taken care of automatically by OnePlan
Key Components
Submission
When you submit timesheet rows, the selected rows are sent to your timesheet manager for review and approval. Once a row is submitted, it is no longer editable. If you need to make changes after submitting, you must recall the row before it is approved.
Manager Review
Your timesheet manager receives your submitted rows and reviews them. The manager selects one or multiple items and chooses to approve or reject. They may optionally include a comment explaining their decision. The status icons on your timesheet rows update automatically based on the outcome.
Possible Outcomes
After your manager (or their delegate) reviews your submission, one of two things happens:
- Approved — The row is finalized. Approved rows cannot be recalled or edited. If a change is needed after approval, a Timesheet Administrator must unlock the row.
- Rejected — The row is returned to you. The manager may include a comment explaining the rejection. You can edit the row and resubmit it.
Recalling a Submitted Row
If you realize you need to make a change before your manager has acted, you can recall submitted rows to make them editable again. Once your edits are complete, you resubmit the rows.
NOTE
You cannot recall approved timesheet rows. Only rows that are still pending review can be recalled.
Locked Rows and Administrator Actions
After approval, a Timesheet Administrator may lock timesheet periods or rows. Locked rows cannot be edited or navigated to. If a correction is needed on a locked or approved row, a Timesheet Administrator can unlock the row to make it editable again.
