How to Approve or Reject a Status Report in OnePlan

  • Updated

Direct Answer: Approving or Rejecting a Status Report

To approve or reject a status report in OnePlan, open the report from your notification, email, or Home Page Insights, review its information, then select Approve if everything looks correct, or select Reject and enter a comment explaining what needs to change. Once approved, the report becomes the official record for that reporting period. Once rejected, it returns to the submitter to update and resubmit, along with your comments.

What This Article Covers: Status Reports

This article explains how an approver is notified that a status report needs review, and how to approve or reject it.

What you will accomplish
After reading this article, you will be able to find status reports waiting on your approval, review them, and approve or reject them with feedback.

Before You Begin: Status Reports

Why This Matters: Status Reports

Approval is what turns a submitted status report into the official, governed record for that reporting period. Reviewing reports promptly — and giving clear feedback when something needs to change — keeps the reporting cycle moving and keeps stakeholders working from accurate, approved information rather than a report still in draft.

Step-by-Step: Approving or Rejecting a Status Report in OnePlan

Task: Get Notified a Status Report Needs Your Approval

When a status report is submitted, OnePlan notifies you as the Approver through three channels:

  • An in-app notification in your Notifications inbox (the bell icon) In App notification status report.png
  • An Insight on your Home Page Insights panel Insights Status report.png
  • An email Email Notification Status Report.png

Each notification includes the plan name and a link — View Report — that takes you directly to the status report.

Task: Review the Submitted Status Report

Select the link in your notification or email, or open the report from Home Page Insights, to review it.

The report opens showing State: Submitted, along with RecallApprove, and Reject options near the top.

Note: Recall Is Visible to You, But Reject Is Recommended
Recall also appears in this view — see How to Recall a Status Report in OnePlan. As the Approver, you could technically recall the report and update it yourself instead of rejecting it, but this is generally not recommended. Use Reject so the change stays with the report's Owner and your feedback is captured as a comment.

Review the report's fields — such as StatusFinancial HealthSchedule Health, budget and forecast data, and any comments — to confirm the information is accurate and complete.

Task: Approve a Status Report

If the report looks correct, you can approve the report:

  1. Select Approve.
  2. (Optional) In the Approve Report window, enter any notes in Comments.
  3. Select Approve.

The report becomes the official status report for that reporting period and is no longer editable.

Task: Reject a Status Report

If something needs to change before you can approve the report:

  1. Select Reject.
  2. In the Reject Report window, enter your feedback in Comments.
  3. Select Reject to confirm.

The status report returns to the submitter in an editable state. The submitter receives an in-app notification and an email letting them know their status report was rejected, including your comments.

Frequently Asked Questions: Status Reports

Q: How will I know a status report needs my approval?
A: In OnePlan, you'll be notified through your Notifications inbox, an Insight on Home Page Insights, and an email — each with a link directly to the report.

Q: Do I need to add a comment to approve a status report?
A: No. In OnePlan, approving a report does not require a comment. A comment is required when you reject a report, so the submitter knows what to change.

Q: What happens to the report after I reject it?
A: In OnePlan, a rejected status report returns to the submitter in an editable state. The submitter is notified in-app and by email, and your comments are included so they know what to update before resubmitting.

Q: Can I approve or reject a status report from the notification email itself?
A: No. In OnePlan, the notification email contains a link that opens OnePlan and takes you to the status report. You select Approve or Reject from within the report itself, not from the email.
