What This Article Covers: The Portfolio List

This article explains how to work with plans in the Portfolio List in OnePlan, including selecting plan types, expanding and collapsing the plan hierarchy, editing plan fields in the grid, viewing split data, recalculating values, and commenting on plans.

What you will accomplish By the end of this article, you will be able to display, navigate, edit, and comment on the plans in your Portfolio List.

Before You Begin: Managing Plans in the Portfolio List

Before you begin, make sure you have:

  • A OnePlan account with access to the Portfolio Area
  • Permission to edit a plan, if you want to update its fields from the grid
  • (Optional) A Multi Lookup field configured with split fields, if you want to review split data

Why This Matters: The Portfolio List

Context: One Place to Review and Update Plans

The Portfolio Area can contain several plan types and plan type hierarchies, so the amount of data can be large. Selecting plan types, expanding the hierarchy, and editing directly in the List view grid let you review and update many plans without opening each one.

A split field divides a number or currency value, such as Budget, across the plans selected in a Multi Lookup field. Grouping the list by that field shows each plan’s share of the value, so you can see how a value is divided without opening each plan.

Step-by-Step: Managing Plans in the Portfolio List

Task: Update Plan Information in the Editable Grid

  1. Add the columns you want to edit to the view.
  2. Select the field you want to change. If the field is editable and you have permission to edit the plan, the field becomes editable.
  3. Enter the new value.

Note: Certain fields may not be available for certain plan types, based on configuration. In that case, you cannot edit the value.

You can also update values in bulk. See Bulk Edit Plan-Level Fields from My Portfolio.

Plan-level and task-level hyperlink fields can display a configurable icon in the list. When an administrator sets an icon URL for the field, select the icon in the grid to open the linked site or document.

Task: View Split Data in the Portfolio List

Starting from the Portfolio List:

  1. Select Group By and select the Multi Lookup field that has split fields configured. See Group Plans in the Portfolio List.
  2. Add the original field, such as Budget, as a column. See Add or Remove Columns in the My Portfolio Area.
  3. Review the values in each group. Each plan shows its split value within each group instead of its total.

Split data displays the same way in the Plan Details form, Roadmap, and Board views, so you see consistent figures wherever you review plans. For more information, see How to View Split Data in OnePlan.

Task: Recalculate Values

Starting from the Portfolio List:

  1. Select the Recalculate icon. OnePlan recalculates calculated fields, including rollup fields, in the portfolio.

Use this when data has been updated and some values appear out of sync.
