This article explains how to configure the Send Notification action for Plan Automations in OnePlan. Use this action to send an email and in‑app notification to selected users when a plan automation is triggered.
What you will accomplish
By the end of this article, you will be able to configure a Send Notification action, including recipients, subject, message content, and which plan fields are included in the notification.
Requirements
Before you begin, make sure you have:
- A OnePlan account with Licensed permissions
- Contributor or Owner access to the plan
- A Plan Automation trigger already configured
See the following trigger articles if needed:
Background
The Send Notification action allows you to notify users when a plan meets the conditions defined by an automation trigger. Notifications are delivered both in‑app and via email, helping keep stakeholders informed without manual follow‑up.
This action is commonly used to:
- Notify stakeholders of plan status or process step changes
- Alert owners or approvers when action is required
- Communicate key plan updates automatically
Instructions
Add the Send Notification Action
- In the Plan Automations editor, select Add Automation Action.
- Choose Send Notification from the list.
- The Edit Notification panel opens on the right side of the screen.
Select Notification Recipients
Use the To field to determine who receives the notification.
- In the To dropdown, select a recipient type. Options include:
-
Plan Field – Select a plan‑level user field. Any user assigned to that field will receive the notification.
-
Shared‑With Level – Select one or more Shared With permission levels. All users with the selected level(s) will receive the notification.
-
Specific User – Select one or more individual users.
-
Specific Team – Select one or more resource teams.
-
Plan Field – Select a plan‑level user field. Any user assigned to that field will receive the notification.
- Select the corresponding user, field, permission level, or team as required.
Note
Recipients must have access to the plan to receive the notification.
Configure the Notification Content
Subject
- In the Subject field, enter the subject line for the notification.
Fields Sent
- In the Fields Sent field, select up to 10 plan‑level fields to include in the notification.
- These fields are displayed in a table using the most recent values from the plan that triggered the automation.
Tip
Selecting more than 10 fields may result in an undesirable email layout.
Message Body
- Enter the message content for the notification.
- Use the formatting toolbar to apply basic text formatting as needed.
Save the Action
- Review the recipients and notification content.
- Select Update to save the Send Notification action.
- When finished configuring the automation, select Save.
## Next Steps
After configuring an Approval Task Workflow action, you can:
- Add additional actions to extend the automation:
- Add Filters to control when the automation runs. See Plan Automation Filters.
While there is no strict limit on the number of actions, we recommend keeping automations manageable to maintain optimal performance.
