This article explains how to configure the Update Plan action for Plan Automations in OnePlan. Use this action to automatically update one or more plan‑level fields when an automation is triggered, and to control which user is recorded as making those updates for auditing purposes.

Requirements
Before you begin, make sure you have:
- A OnePlan account with Licensed permissions
- Contributor or Owner access to the plan
- A Plan Automation trigger already configured

Background
The Update Plan action allows you to automatically change plan‑level field values when a trigger condition is met. In addition to updating fields, this action also records who performed the update, which is important for auditing and traceability.
This action is commonly used to:
- Update status, flags, or numeric fields
- Apply governance‑driven field changes
- Ensure plan data stays consistent as the plan progresses
- Record updates as coming from a specific user or role
Instructions
Add the Update Plan Action
- In the Plan Automations editor, select Add Automation Action.
- Choose Update Plan from the list.
- The Edit Update Plan panel opens on the right side of the screen.
(Optional) Add Users to the Plan Shared With List
Use the Shared With section to add users or teams to the plan’s Shared With list. This ensures the appropriate people have access to the plan when changes are made by the automation.
You can add individual users or resource teams, depending on how access should be granted.
- In the Shared With dropdown, select how the updating user should be determined. Options include:
- Plan Field – Select a plan‑level user field. Any user assigned to that field will receive the notification.
- Specific User – Select one or more individual users.
- Specific Team – Select one or more resource teams.
- Plan Field – Select a plan‑level user field. Any user assigned to that field will receive the notification.
- If required, select the Access Level for the user.
Configure the Plan Fields to Update
Use the Update Plan fields section to define which fields should be updated.
- Select Add Field.
- Choose the plan‑level field you want to update.
- Enter or select the value that the field should be updated to.
Repeat these steps to update multiple plan fields as part of the same action.
Click the trash can icon next to a field to remove the field.
Note
Available fields and valid values depend on the selected plan type and field configuration.
Save the Action
- Review the user selection and field updates.
- Select Update to save the Update Plan action.
- When finished configuring the automation, select Save.
Next Steps
After configuring an Update Plan action, you can:
- Add additional actions such as Send Notification, Approval Task Workflow, or Copy or Create Plan
- Combine plan updates with process step or approval logic
While there is no strict limit on the number of actions you can include, we recommend keeping automations manageable to maintain optimal system performance.
