OnePlan Release Notes - December 6, 2024

This OnePlan release enhances Sofia AI with voice commands, document uploads, and advanced AI settings.

Stage Gate Workflows are fully launched, streamlining approvals. Real-time imports for Financial and Resource Plans improve data access, and new Portfolio filters and export options boost data control.

Integrations with Wrike, Azure DevOps, Jira, and Teams enhance cross-platform management, and mobile updates support easier task and timesheet handling.

Sofia AI Assistant

Summary: Sofia, OnePlan’s AI assistant, has been upgraded to better assist with data entry, planning, and customization. New features such as voice commands, document uploading, and configuration options make interactions with Sofia more versatile and efficient.

• Status Report Assistance: Sofia now helps you fill out multi-text fields in status reports. You can type or speak to Sofia to receive assistance.
• Document Upload for Plan Creation: When creating a plan, you can upload a document (.doc, .docx, .pdf), and Sofia will read the document to fill in plan details automatically.
• Voice-Activated Plan Creation: Users can verbally instruct Sofia on how they would like the plan details filled out during plan creation.
• Plan Details Multi-Text Field Input via Voice: Sofia now supports voice commands for filling multi-text fields, making data entry faster.
• Improved UX for Clarity: Sofia’s interface has been updated to allow users to specify if they are analyzing OnePlan data or asking a help question.
• Hyperlinks in Responses: Hyperlinks provided by Sofia in responses are now non-clickable for improved clarity.
• Azure OpenAI GPT 4o: Upgraded to Azure OpenAI GPT-4o, Sofia now responds faster and can analyze up to four times more data.
• New AI Tab in Plan Fields Settings: A new AI tab allows marking fields (text, multi-text, choice, and dates) as AI-enabled, setting them for auto-fill on plan creation, and adding custom prompts to improve Sofia’s field-filling accuracy.
• Admin Page Assistance: From the admin page, users can now ask Sofia configuration-related questions.

Stage Gate Workflows

Summary: Stage Gate Workflows are now fully released (no longer beta), bringing structured workflows and improvements to approval processes with new email links, notifications, and auto-updates for greater efficiency and collaboration.

• Approval Emails with Direct Links: Approval emails now include links to the task landing page, allowing for easy approvals without logging in to OnePlan.
• Field Selection in Approval Emails: A type-ahead search is available in the field selection for approval emails, making it easier to find specific fields.
• Detailed Approval Information: Users awaiting approval can now click a “details” button to view more information about the approval on the plan details form.
• Enhanced Auto-Approval Functionality: Fields set to update on approval and any conversions will now automatically run with auto-approvals.
• Team-Wide Approval Notifications: Setting up an approval for all team members generates individual approval tasks and email notifications for each team member.
• Auto Date Setting: Date fields can now be updated to “Today” (the current date) upon approval or rejection for streamlined tracking.
• Mandatory Comments on Approvals: Comments are now required on both approvals and rejections, promoting greater transparency.
• Field Updates on Rejection: Field updates can now be triggered upon rejection as well as approval, offering increased workflow flexibility.

Financial Plan

Summary: Financial Plan updates bring more customizable views, improved toolbar design, and faster import options, streamlining financial management for users.

• Custom Views for Global and Personal Use: Users can save views that include preferences for cost type, dates, grouping, custom columns, etc. Note:  After the release, you should create views with the fields, grouping, and settings you would like.  You may notice differences in your fields and groupings until you do so.
• Row Copy and Paste: You can now copy, paste, and insert rows, streamlining duplication and reorganization.
• Consistent Toolbar Design: The toolbar layout now matches other OnePlan toolbars, with actions on the right and view settings on the left.
• Hierarchical Visibility Control: When hiding a parent category, all child rows within the hierarchy are also hidden.
• Real-Time Import Processing: Scheduled import jobs now run in near real-time, providing timely data updates.  This applies to importing from the timesheets, resource plan, or work plan when the auto import option is selected.

Resource Plan

Summary: Resource planning has been optimized with real-time import jobs and a new plan selector for easier resource management.

• Enhanced Plan Selector for Bookings: A new plan selector in the global resource plan allows users to find and add plans quickly when adding bookings.
• Real-Time Import Processing: Resource Plan import jobs now update in near real-time, providing timely data updates. This applies to importing from the timesheets, or the work plan when the auto import option is selected.

Portfolio Plan

Summary: Portfolio management is now more precise with expanded filtering options, improving data analysis capabilities.

• Hyperlink Field Filtering: Users can now filter hyperlink fields using a “contains” filter for the friendly link text and URLs.
• Expanded Multi-Choice Filtering: Multi-choice fields now allow up to 10 choice selections for filtering, previously limited to 5 choices.

Plan Details

Summary: Plan documentation and sharing have been improved with new export options for greater flexibility.

• Export to PDF, Word, or Email: Plan details can now be exported to PDF, Word, or email, making it easier to share information.

Work Plan

Summary: Work planning is enhanced with new field options and customization settings for improved organization.

• Friendly Work Item IDs: Users can create friendly Work Item IDs with customizable prefixes and starting numbers for each work type.
• Plan Name in Work Plan Views: The Plan Name field can now be added to work plan views, aiding in managing multiple sub-plans within one work plan.
• Row Height Persistence: Row height selections will now save with views, ensuring consistency across sessions.

Wrike Integration

Summary: OnePlan now integrates with Wrike, enabling seamless project and task management.

• Project Import from Wrike: Projects from Wrike can now be imported directly into OnePlan as plan-level items, with tasks brought into the Schedule section.
• Two-Way Data Flow: Existing Wrike projects can connect with OnePlan, allowing data synchronization. (A personal API token is required.)

Jira Integration

Summary: Jira integration now supports plan level multi-choice fields, auto-updates Resource Plans, and supports Jira Status for seamless data alignment.

• Multi-Choice Field Synchronization: OneConnect now syncs plan-level multi-choice lookup fields between Jira and OnePlan, improving data consistency.
• Automatic Resource Plan Updates: Resource plans now update automatically when importing data from Jira, reducing manual recalculations. (Requires Start Date, Due Date, Effort, and Assigned To fields to be filled in.)
• Jira Status Category Support: Added support for the Jira Status Category field, enabling smoother status mapping.

Azure DevOps Integration

Summary: Azure DevOps integration now syncs Azure DevOps lookup values, maps Work Item IDs, auto-updates Resource Plans, and supports area path mapping for improved task alignment in OnePlan.

• Lookup Table Synchronization: OneConnect now syncs lookup table values from Azure DevOps to OnePlan, useful for frequently changing lookup values.  The "SynchLookups" strategy synchronizes lookup values, while the "OnePlanUpdate" strategy ensures values populate during data imports.
• Work Item ID Mapping: Work Item IDs from Azure DevOps can now be mapped to OnePlan, making it easier to find items.
• Automatic Resource Plan Updates: Resource plans update automatically with Azure DevOps data imports (requires the Start Date, Due Date, Effort, and Assigned To fields to be filled in).
• Area Path Support: Azure DevOps area path field mapping is now supported at the work plan level for task alignment.

Status Reports

Summary: Status reporting has been enhanced with a user-friendly rich text editor for creating and presenting content.

• Rich Text Editor for Multi-Text Fields: Multi-text fields now feature a new rich text editor, making content creation easier and more configurable.

Dashboards

Summary: Dashboard configuration has been expanded to support multiple tabs, offering a flexible setup for different reports.

• Multiple Dashboard Tabs: Users can now create up to 10 dashboard tabs for portfolios or plans, each showing a unique Power BI report.

Timesheets

Summary: Timesheet management now includes automatic time-off entries and improved visibility settings, streamlining time tracking.

• Automatic Time-Off Inclusion: Time off can now be added automatically to timesheets, reducing manual entry.  This can be limited to approved time off, or include all time off.
• Locked Period Visibility: The Approvals - Detail Grid now hides unapproved time in locked periods for improved clarity.

Resource Center

Summary: Resource Center updates align toolbar designs and adds required fields, ensuring consistent data entry.

• Updated Toolbar Design: The Resource Center toolbar layout has been updated to match other OnePlan modules, with actions on the right and view settings on the left.
• Required Fields for Resources: Users are now unable to create or update resources if required fields are not filled out.

Mobile App

Summary: The mobile app has been improved with enhanced sorting, task updates, and new timesheet functionalities.

My Work

• • Sort and Filter Work Items by Plan : Users can now sort and filter work items by plan name.
  • Task Card Updates: The Assigned To field is always visible (read-only), providing clarity on work item ownership.
  • Task Details Button: A new button displays additional work item information (read-only).
  • Automatic Field Updates: New fields added to OnePlan load automatically without needing to log out.
  • Quick Task Updates: The status field is now at the top of the page for fast work item updates.

Time Off

• • Unified Date Picker: Time off entries now use the same date picker as the My Work section.

Timesheets

• • Plan Level Time Entry: Time can now be charged at the plan level for streamlined tracking (if the plan is set to allow this).

Other

• • Environment Selection: The mobile app remembers the last group selected, so you don’t need to choose the environment each time.
  • Streamlined Access Control: Users without Enterprise Security access to timesheets no longer see the timesheet option.

Audit Logs

Summary: New audit settings allow admins to focus on user actions by excluding API updates from the audit history.

• Selective Data Auditing: Admins can now choose to exclude API updates from audits, allowing them to focus on user actions.

OneConnect Performance

Summary: OneConnect has been optimized for faster integration speeds, reducing data processing times.

• Faster Integration Speeds: The volume of data retrieved from OnePlan during integration has been reduced, significantly improving processing times, especially for users managing large portfolios or resource-intensive plans.

SharePoint Site Creation Deprecation

Summary: Microsoft’s deprecation of app authentication for SharePoint site creation has led to a new recommendation for using Teams integration.

• Transition to Teams Integration: Microsoft’s deprecation of app authentication means SharePoint site creation will no longer be possible soon. Existing users can still use this method for now, but new users are encouraged to switch to Teams integration for future plans.  Once Microsoft removes this authentication option (more info here), new SharePoint sites will not be created.  We plan to add the ability to connect to existing SharePoint sites (versus creating them) soon.
